These Terms of Service govern your use of ProQuoter. By creating an account or using the service, you agree to these terms. Please read them carefully.
ProQuoter is a quoting, invoicing, diary, and job management application for tradespeople in the United Kingdom, available at proquoter.co.uk and as a mobile application. These Terms of Service (“Terms”) form a legally binding agreement between you (“you” or “the user”) and ProQuoter (“we”, “us”, or “ProQuoter”).
By registering for an account, starting a free trial, or using any part of the service, you confirm that you have read, understood, and agreed to these Terms. If you do not agree, do not use the service.
These Terms should be read alongside our Privacy Policy, which explains how we collect and use your data.
To use ProQuoter you must:
You are responsible for maintaining the security of your password and account. You must not share your login credentials with anyone who is not an authorised team member on your account. You must notify us immediately at support@proquoter.co.uk if you suspect unauthorised access to your account.
We are not liable for any loss or damage arising from unauthorised access to your account caused by your failure to keep credentials secure.
You are responsible for the accuracy of the information you enter into ProQuoter (customer details, quotes, invoices, financial records). ProQuoter is a tool to help you manage your business; it does not verify or validate the commercial accuracy of any documents you produce.
ProQuoter offers the following paid subscription plans (prices shown in GBP, inclusive of VAT where applicable):

Plan prices are listed on our pricing page. We reserve the right to change subscription prices at any time with at least 30 days’ notice to existing subscribers.
Each plan includes access to core ProQuoter features: quoting, invoicing, diary, job management, price book, and measure pad. Higher-tier plans unlock additional features including team management, workforce tools, and higher AI usage limits. Current feature availability per plan is described on our pricing page.
AI usage (Smart Assistant) is limited per plan. Monthly limits reset at the start of each billing period. Unused AI allowance does not roll over to the next month.
New accounts receive a 14-day free trial that provides access to all ProQuoter features, regardless of which plan you ultimately choose. Specifically, during the trial period:
At the end of the 14-day trial period, access is restricted to the feature set of your chosen paid plan, or the service becomes inaccessible if no paid plan has been selected. Your data is not deleted when a trial expires.
The trial is available once per person and per business. Creating multiple accounts to obtain repeated trial access is a breach of these Terms.
Subscription payments are processed by Stripe. By subscribing, you authorise ProQuoter to charge your payment method on a recurring basis (monthly or annually, according to your chosen billing cycle). Your payment details are stored and processed by Stripe and are never held by ProQuoter.
Monthly subscriptions are billed on the same date each month. Annual subscriptions are billed once per year on the anniversary of your subscription start date. You will receive an email receipt for each payment.
If a payment fails, we will attempt to retry the charge over a short period. If the payment remains unsuccessful, access to the service may be suspended until payment is received. We will notify you by email of any payment failure.
Prices shown include VAT at the current UK rate where applicable. VAT receipts are available from your account billing history.
You may cancel your subscription at any time from your account settings or by contacting us at support@proquoter.co.uk.
Statutory rights under the Consumer Rights Act 2015 are not affected by these terms. If you are a consumer rather than a business subscriber, you may have additional cancellation rights under UK consumer law.
You agree to use ProQuoter only for lawful purposes. You must not:
ProQuoter is intended for use by tradespeople and small businesses in the United Kingdom. Use of the service from outside the UK is permitted but is at your own risk and may not comply with local laws.
The ProQuoter application, its code, design, branding, and all content created by ProQuoter are our intellectual property or that of our licensors. You may not copy, modify, distribute, or create derivative works based on any part of ProQuoter without our written permission.
All data you enter into ProQuoter — your customer records, quotes, invoices, job notes, documents, and photos — belongs to you. We do not claim any ownership over your business data.
You grant us a limited licence to store, process, and transmit your data solely for the purpose of providing the service to you. We will not use your business data for any other purpose without your consent.
We aim to keep ProQuoter available 24 hours a day, 7 days a week. However, we do not guarantee uninterrupted availability. The service may be temporarily unavailable due to:
ProQuoter is designed with an offline-first architecture so that core features (viewing, editing, and creating quotes, jobs, and diary entries) continue to work without an internet connection. An internet connection is required for first-time login and for syncing data across devices.
We reserve the right to modify, suspend, or discontinue any part of the service with reasonable notice.
To the fullest extent permitted by law:
Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be limited or excluded by law.
You may close your account at any time by contacting us or using the account deletion option in the app. Your data will be deleted within 90 days of account closure, subject to legal retention requirements.
We may suspend or terminate your account with immediate effect if you breach these Terms, including unacceptable use, non-payment, or fraudulent activity. We will notify you by email in such cases.
We may also terminate the service with 30 days’ notice if we decide to discontinue ProQuoter entirely.
On termination, your right to use the service ceases immediately. Sections relating to intellectual property, limitation of liability, and governing law survive termination.
We may update these Terms from time to time. If we make material changes that affect your rights or obligations, we will notify you by email and/or by a prominent in-app notice at least 30 days before the changes take effect.
Minor changes (such as clarifications or corrections that do not affect your rights) may be made at any time and take effect immediately upon publication. The “Last updated” date at the top of this page indicates the most recent revision.
Continued use of ProQuoter after a change takes effect constitutes your acceptance of the revised Terms. If you do not accept the changes, you must stop using the service and cancel your subscription before the effective date.
These Terms and any dispute or claim arising out of or in connection with them (whether contractual or non-contractual) shall be governed by and construed in accordance with the laws of England and Wales.
Any disputes arising from these Terms that cannot be resolved informally shall be subject to the exclusive jurisdiction of the courts of England and Wales.
